Role Summary 

The Procurement Assistant will be responsible for overseeing purchases and developing new contracts. He/she will play a key role in procuring high-quality and cost-efficient supplies and materials for the construction of HOPE houses. He/she will follow procurement procedures and maintain an updated list of current and incoming inventory.

Key Accountabilities

• Create and maintain good relationships with vendors and suppliers
• Review and analyze all vendors/suppliers, supply, and price options
• Negotiate the best deal for pricing and supply contracts, ensuring that the products and supplies are of high quality
• Maintain and update a list of suppliers and their qualifications, delivery times, and potential future development
• Generate purchase requisitions/orders for goods and services
• Assist in receiving, storing, controlling, and issuing stock from warehouses
• Preparation of bi-monthly inventory and purchase order reconciliation reports
• Ensuring compliance with all procedures for all incoming and outgoing items, maintaining a thorough knowledge of the inventory database
• Travel to job locations and warehouses as required
• Assist in coordinating the required documentation between the site and the office as required

Knowledge and Skills 

• Computer literate with the ability to operate in SAGE
• Solid knowledge and understanding of procurement processes, policies, and systems
• Ability to analyse problems and strategise for better solutions
• Ability to negotiate, establish and administer contracts
• Strong verbal and written communication skills
• Ability to multitask, prioritise and manage time efficiently
• A valid driver’s license is required

Qualifications and Experience 

• Previous experience as a procurement assistant would be an asset
